Woo Ops terms of service
Three things worth knowing straight away. The Free plan is free of charge and has no time limit. The Pro trial period needs no card and does not turn itself into a paid subscription. You buy the subscription in the app: on Android the seller is Google, outside Google Play we are the seller and we then issue an invoice.

3. What the service is
Woo Ops is a tool for running a WooCommerce store from your phone: reviewing and changing orders, inventory with a barcode scanner, sales analytics, alerts and, on the Pro plan, features based on a language model. The App connects to your Store directly, using a mechanism built into WooCommerce.
Woo Ops is not a product of Automattic Inc. or the WordPress Foundation and is not certified by them. It does not replace your Store's administration panel for full configuration.
The contract for the provision of services by electronic means is concluded when you first launch the App, and as regards the cloud features when you create an Account.
4. Technical requirements
- a device running Android or iOS in a version supported by the App,
- internet access, subject to the fact that some features also work without a connection,
- a Store based on WooCommerce with HTTPS connections enabled and the ability to create an application password,
- an active email address, if you create an Account.
5. Account
- You create the Account by providing an email address and setting a password. We do not know the password, we store only its irreversible hash.
- You are responsible for keeping the password confidential and for actions taken using your Account.
- An Account belongs to one person. The Agency plan provides for five seats, that is five separate Accounts within one organisation.
- You can delete the Account at any time in the App (Account, then Delete account, confirmed with your password) or by sending a request to kontakt@wooops.pl from the email address assigned to the Account. Deletion is immediate and cannot be undone; the procedure and the consequences are described in the privacy policy. Deleting the Account does not cancel a subscription: cancel that where you bought it.
- Using only the Free plan in the scope that runs on the device does not require an Account.
6. Connecting a store and your responsibility
- By connecting a Store you declare that you are entitled to access it and its data.
- You create the application password yourself in your Store's admin panel and you can revoke it at any time. It is kept in your device's key store and does not reach our servers.
- The App performs on the Store the operations you order yourself, including status changes, refunds and stock level changes. The consequences of those operations are on you. We recommend keeping an up-to-date backup of your Store.
- If your Store holds customers' personal data, you are their controller. The rules on which we process it on your behalf are set out in the data processing agreement, which forms an integral part of these terms.
7. Plans and prices
| Plan | Price incl. VAT | Scope |
|---|---|---|
| Free | 0 zł, with no time limit | Daily operations: orders, refunds and statuses, inventory with a scanner, the Today panel, 7/30/90 day analytics, customers, basic notifications. One person, unlimited stores. |
| Pro | 69 zł / month or 649 zł / year | Everything in Free plus purchase costs and margin, Pro analytics, store health, custom alerts, operations across many orders, export, AI features. One user, up to 3 devices, 75 AI analyses per month. |
| Agency | 229 zł / month or 2 190 zł / year | Everything in Pro plus team permissions, change history, client reports. Five seats, 300 AI analyses per month. |
Prices are given in Polish zloty and include VAT. Billing in euro is also available: Pro EUR 14.99 monthly or EUR 139.99 yearly, Agency EUR 49.99 monthly or EUR 469.99 yearly. The euro price list is a price list in its own right, not a conversion of the zloty amounts at an exchange rate.
The AI analysis limits apply only to features based on a language model. Connecting Stores is not limited on any plan.
A price change does not affect a period already paid for. We inform you of a price list change at least 30 days in advance; if you do not accept it, you can cancel before the start of the next billing period.
8. The Pro plan trial period
- The trial period lasts 14 days and is free of charge.
- It does not require payment card details.
- It does not turn automatically into a paid subscription. When it ends you return to the Free plan and no payment is taken. To keep using Pro, you buy the subscription by a deliberate decision.
- The trial period is available once per Account.
9. Payments, sales channels and invoices
Who the seller is and who issues the document depends on where you buy.
Purchase in the Android app
The subscription is sold by Google within Google Play. The sales contract is concluded between you and Google, on Google Play's terms. Billing, the sales document and refund handling are on Google's side. We receive only a purchase confirmation and on that basis we grant the plan entitlements.
Purchase outside Google Play
The payment is handled by the Stripe payment provider, and we are the seller. In that case we issue a VAT invoice and send it to the email address assigned to the Account. If you need an invoice made out to company details, provide them before the purchase or immediately after it, by writing to kontakt@wooops.pl.
We never see or store your payment card details. They are handled solely by the payment provider or the app store.
10. Renewal and cancellation
- The subscription renews for the next billing period unless you cancel it.
- You cancel where you bought: a Google Play subscription in the Google Play subscription settings, a subscription bought outside Google Play in the App or by a message to our address.
- Cancellation takes effect at the end of the paid period. Until then you use the plan unchanged; we do not refund a proportional part of the fee for the ongoing period, except in the situations described in sections 11 and 12.
- When the subscription ends you return to the Free plan. Your configuration and data remain; you lose access to Pro features, you do not lose access to your Store.
11. Withdrawal from the contract
This section applies to Consumers and Entrepreneurs with consumer rights.
- You have the right to withdraw from the contract within 14 days of concluding it, without giving a reason.
- Send your statement to kontakt@wooops.pl. An unambiguous statement that you are withdrawing from the contract is enough. You may use the statutory model form, but it is not mandatory.
- The payment is refunded without delay and no later than within 14 days, by the same means you used to pay.
- An exception arising from the law. The right of withdrawal does not apply if performance began with your express and prior consent and after you acknowledged that you would thereby lose the right of withdrawal, and we have performed the service in full.
- If you request that performance start before the withdrawal period expires and you then withdraw, you will pay for the performance provided up to the moment of withdrawal, in proportion to its scope.
- For a purchase through Google Play, the refund is handled by Google in line with its terms. This does not limit your statutory rights towards us.
12. Complaints
- Submit a complaint to kontakt@wooops.pl, describing the problem, stating what you expect and giving the Account email address.
- We reply within 14 days of receiving the submission.
- Digital content and digital services are subject to the rules on conformity of performance with the contract. If the service is not in conformity with the contract, you may demand that it be brought into conformity, and where that is impossible or involves excessive costs, make a statement on a price reduction or on withdrawal from the contract on the terms laid down in the law.
13. Service availability and interruptions
We make every effort to keep the service running without interruption, but we do not guarantee a particular availability level. We reserve the right to technical breaks, giving advance notice of longer ones. Features that run on the device remain available also when our cloud is unavailable.
We are not liable for unavailability resulting from a failure of your Store, your Store's hosting, your internet connection, or from the operation of app stores.
14. AI features: what they are and what they are not
- Revenue, margins and refunds are calculated by the App itself according to fixed rules. The language model only describes and explains those numbers.
- AI does not make any changes in your Store on its own. It may prepare a proposed action; you always approve the execution.
- The model's answers may contain errors. They do not constitute accounting, tax or legal advice and should not be the sole basis for business decisions.
- Do not put your customers' personal data into the content of questions asked of the model. Details in the privacy policy.
15. What you must not do
- connect Stores that you are not entitled to access,
- share your Account with third parties, other than the seats on the Agency plan,
- circumvent plan limits, including AI analysis limits,
- decompile the App or attempt unauthorised access to our systems, beyond the scope permitted by mandatory provisions of law,
- use the service for unlawful activities.
In the event of a material breach we may suspend access to the cloud features, after a prior demand and setting a deadline to stop the breach, unless the breach threatens the security of the service or of other users' data.
16. Liability
- We are liable on the general terms arising from the law.
- In relations with Users who are neither Consumers nor Entrepreneurs with consumer rights, our liability is limited to the amount of the fees paid by that User in the 12 months preceding the event and does not cover lost profits.
- The limitation in paragraph 2 does not apply to damage caused intentionally, to personal injury, or in other cases where excluding or limiting liability is not permitted.
- We are not liable for the consequences of operations you order in your Store, nor for the content of the data held in your Store.
17. Rights to the app and the licence
All rights to the App, to Woo Ops Cloud, to their graphic elements and trademarks belong to us or to our licensors. For the term of the contract we grant you a non-exclusive, non-transferable licence to use the App for your own purposes, in line with these terms. The licence does not include the right to resell, rent or make the App available to third parties.
The data in your Store remains yours. We acquire no rights to it.
18. Personal data
The rules of data processing are described in the privacy policy. In relation to the personal data of your Store's customers we act as a processor on the basis of the data processing agreement.
19. Changes to these terms
We may change these terms for important reasons, in particular a change in the law, a change in the scope of the service or security considerations. We inform you of a change at least 14 days in advance, by email to the Account address or by a notice in the App. If you do not accept the change, you may terminate the contract with effect from the day it takes effect; the change does not affect a period already paid for.
20. Termination of the contract
You may terminate the contract for maintaining the Account at any time by deleting the Account. We may terminate it with a 30-day notice period for important reasons, including discontinuing the service. In that case we refund a proportional part of the fee for the unused period.
21. Governing law and disputes
- The contract is governed by Polish law. The choice of law does not deprive a Consumer of the protection arising from the mandatory provisions of the country of their habitual residence.
- A Consumer may use out-of-court methods of handling complaints and pursuing claims, including mediation at the regional inspectorates of the Polish Trade Inspection (Inspekcja Handlowa) and the assistance of a district or municipal consumer ombudsman. Using them is voluntary.
- Disputes with Users who are neither Consumers nor Entrepreneurs with consumer rights are settled by the court having jurisdiction over our registered office.
